Discuss your workflow

Start with one recurring problem

If you run a small business or manage its operations, you may already know where your team loses time. Someone enters the same information twice. A client cannot move forward until someone checks an inbox. Your weekly report takes an afternoon to assemble.

We work with you and the people doing the task to decide what to simplify, what to connect, and where automation would help. You can start with your existing software and a walkthrough of the process.

Workflows we can help improve

  • Client intake: move submitted information into your business systems, request missing documents, and notify the person responsible for the next step.
  • Recurring reporting: bring information from several sources into a repeatable report, with checks for missing or inconsistent data.
  • Approvals and follow-up: route requests to the right person, send reminders, and make stalled work visible.
  • System handoffs: connect spreadsheets, email, and business applications so your team spends less time re-entering information.

These are examples of work we can assess. The right solution depends on your systems, access permissions, and the exceptions your team handles.

What you receive from a workflow assessment

We map one process with your team, review its volume and time requirements, and identify the errors or delays you want to reduce. We also check integration options, data sensitivity, and likely operating costs.

You receive a recommendation on whether automation is worthwhile, proposed success criteria, estimated costs and benefits, and a scope for implementation. We agree on the assessment scope and fee before work starts.

If you choose to build, we scope implementation separately. That includes the agreed integrations, testing with representative work, failure reporting, and a handover that explains how to operate the workflow. We also agree on responsibility for support and monitoring.

Onsite visits are available for Baltimore-area clients. We can also work remotely. Tell us your location and the people who should join the initial walkthrough so we can agree on the format.

Before we talk

Do we need to replace our current software?

We first review the tools you already use. Configuration changes or a connection between existing systems may be enough. Custom software is an option when those tools cannot handle the agreed task.

Does the workflow need AI?

Many workflows can use conventional rules and integrations. We consider AI for tasks such as extracting information from documents, with evaluation and human review appropriate to the work.

How much will it cost?

The scope depends on the process, systems, access, and testing required. We agree on the assessment fee first and provide a separate implementation scope if you want to proceed. Software subscriptions and ongoing usage costs are part of that discussion.

Can you help with other technology decisions?

Yes. Buffalo Brain also offers cloud cost and architecture reviews and fractional technical leadership. For the full automation engagement process, see workflow automation services.

Tell us about the work you want to simplify.

Describe one recurring task, the systems involved, and where your team gets stuck. Include your location if you would like an onsite conversation. We will follow up to discuss fit and a possible assessment scope.
